AI tools like ChatGPT and Claude are genuinely useful for the admin side of managing a rental, as long as you know what they're good for and what they're not.
What AI is good for
Building your own reminder system. Ask it to draft a simple compliance calendar template for your specific check dates, or to write you a script for a calendar app that sends reminders 6 weeks before each due date.
Prompt: "I'm a landlord in Victoria. My smoke alarm check is due every 12 months, my electrical and gas checks are due every 2 years. My last electrical and gas check was [date]. Write me a simple table with all three upcoming due dates and a 6-week reminder date before each one."
Drafting tenant communication. Ask it to write a plain-English notice telling your tenant about an upcoming safety check visit.
Prompt: "Write a short, friendly notice to my tenant letting them know a licensed technician will visit on [date] between [time window] to carry out a smoke alarm, electrical and gas safety check. Keep it under 100 words."
Summarising a report. If you've received a long compliance report and want the key points, paste the text in and ask for a plain-English summary of any faults found and what needs to happen next.
What AI is not good for
Telling you the current legal requirement. Language models are frequently out of date on specific dates, penalty figures and legislative changes, and will state incorrect information confidently. Where we've been able to verify a fact against a primary source (usually Consumer Affairs Victoria or the equivalent state body), we cite it with a link so you can check it yourself. Where we haven't been able to confirm something, we say so plainly rather than presenting it as settled. Don't take a compliance date or a penalty figure from a chatbot, or from any uncited claim, as fact. Check it against the official source, or ask us.
The simple version
